This position will be based in Wallingford (OX10 9BT), and is within easy reach of Reading and Oxford.   

The Position:

The CEO is seeking a sharp, quick-minded, motivated and flexible personal assistant who thrives in a fast paced, service oriented and results driven environment to assist him with the management of his administrative needs and travel requirements.  The successful candidate will play a key role in assisting the CEO with the scheduling of his day to day, month to month and quarter to quarter activities between North America and the UK. The CEO will be in the UK approximately 4 months out of the year, with the remainder in any of the above mentioned offices, or other locations in North America.  When not traveling, the CEO will be based in Los Angeles.  This position requires a strong communicator who will interface and collaborate with management in all areas of the business including software development, professional services, customer support, sales and finance.  This is an exciting opportunity for a driven individual looking for a demanding environment where they can make significant contributions throughout the organisation. You must be able to work independently the CEO will not be physically present for several months out of the year, but constant communication will be required.

Job Responsibilities & Personal Charachteristics:

Ø Diary management and coordination in booking appointments
      with several managers, acquisition targets and clients
Ø Full schedule management and aggregation of weekly,
      monthly and quarterly reports
Ø Expense report management, scanning and routing
Ø Liaising on the phone and in person with potential clients,
      acquisition targets and internal managers
Ø Travel management for air, rail, hotel and car hire services
Ø Work on small administrative projects for any of the 7 direct
      reports who may need assistance (as approved by the CEO)
Ø Identify potential workflow breaks in process and recommend
      solutions
Ø Strict sensitivity to knowing how and when to keep information
      confidential.  Much of the information being handled will be of
      this nature. Tact and diplomacy are also required
Ø Develop and sustain effective working relationships with all levels
      of management and employees across the organisation,
      including other CEO’s, MD’s and Presidents of divisions
Ø Proactive approach to all areas of responsibility - positive attitude
      and prepared to go the extra mile – especially as this role will
      require working across different time zones
Ø Outgoing, friendly, confident personality and well presented

Job Qualifications:

Ø Minimum of 3 years’ experience in a fast moving administrative
      function or a combination of experiences in any number of
      positions that require quality communications, diary
      management, administrative delivery or other executive
      assistant roles
Ø Demonstrated relationship building expertise, with a desire to
      win over internal customers coupled with very strong written
      and verbal communication skills
Ø Demonstrated ability to work in a self-managed manner, with
      exceptional organisational, prioritisation, and time
      management ability in order to meet deadlines. You must
      love lists, organising, and keeping on task and on schedule
Ø Professional, customer service mindset with a commitment to
      deliver exceptional quality of work globally
Ø Highly proficient in MS Office, especially Excel and PowerPoint
      High speed, high accuracy
