Operations Administrator

Reporting to: Customer Care Team leader

Responsible for: Facilitating the process of enabling customers to access Achilles Supplier Management Services and maintaining customer records in line with service delivery targets.
Purpose of the Job:

To provide administrative support through servicing and maintaining existing and new customer accounts on Achilles systems.

   
Key responsibilities: 

Ø     Main point of contact for resolving and progressing customer
     subscription issues for customers registered on Achilles systems
     (suppliers only) 
Ø     Payment processing and resolving of all payment related
     problems/issues or escalating to appropriate personnel using
     internal systems 
Ø     Updating and maintaining of customer details using in-house
     applications. (Including archiving and restoring of customer
     records) 
Ø     Maintaining an accurate and up to date log of all activity related
     to customer data 
Ø     Carrying out other tasks to progress customer data from
     application to full registration on the database 
Ø     Inputting in of customer data in online questionnaires and back-
     office systems 
Ø     Administering any changes to existing Supplier and user details 
Ø     Generating and circulating statistical reports internally and
     externally to customers 
Ø     Working within a framework of corporate standards and policie 

Knowledge and previous experience:  

Ø     The Operations Administrator will have worked in an
     Administrative/Customer Service environment

Ø     A working knowledge of MSOffice, Outlook, Excel
Ø     Accuracy and close attention to detail
Ø     Articulate and able to demonstrate verbal reasoning
Ø     Logical thought
Ø     Be numerate and literate
Ø     Good listening skills
Ø     Confident and pleasant manner
Ø     Flexible approach and ability to meet tight deadlines

Person specification: 

The Operations Administrator will be working within a small and dynamic team and will be required to work closely with the Operations and Finance teams therefore good interpersonal skills along with enthusiasm are essential. There will be scope to work on your own and with initiative, but team playing is more important on this occasion. A good telephone manner is imperative together with the ability to handle internal and external customer enquiries in a professional way. 

The work involves accuracy and close attention to detail, requiring good administrative and organizational skills.  It will be important to demonstrate sound time management and planning while remaining flexible in approach. Working to deadlines is important and the environment can be pressurised at times 

The Operations Administrator should possess a professional, mature and friendly manner and should enjoy working as part of a team.
